Front Desk Receptionist
Position Overview
Glen Park Senior Living is seeking a warm, professional, and dependable Front Desk Receptionist to serve as a welcoming first point of contact for residents, families, visitors, staff, and community partners.
The Front Desk Receptionist will manage the reception area, answer phones, greet visitors, assist with routine resident and family requests, coordinate messages, and provide general administrative support to the community. The ideal candidate is personable, organized, patient, and comfortable working in a senior living environment.
Key Responsibilities
Front Desk & Reception
Welcome residents, families, visitors, vendors, and guests in a friendly and professional manner.
Monitor the front desk and reception area during assigned shifts.
Answer and route incoming telephone calls.
Receive and distribute mail, packages, deliveries, and other correspondence.
Maintain visitor sign-in and related reception records.
Provide basic directions and information about the community.
Maintain a clean, organized, and welcoming reception area.
Resident Support
Respond courteously to routine resident requests and administrative questions.
Direct resident concerns to the appropriate department or staff member.
Assist residents with contacting family members, staff, transportation services, or other approved resources.
Document resident requests requiring follow-up.
Help maintain a welcoming and respectful environment for residents.
Family & Visitor Communication
Serve as an initial point of contact for family members and authorized representatives.
Provide routine administrative information regarding community activities, schedules, and procedures.
Notify appropriate staff when families or visitors arrive.
Coordinate visitor access according to community procedures.
Handle sensitive interactions with patience, professionalism, and discretion.
Communication & Message Management
Take accurate messages and route them to appropriate staff members.
Monitor general reception emails or communication systems as assigned.
Communicate urgent or time-sensitive information promptly.
Maintain accurate records of messages requiring follow-up.
Coordinate with management when questions or requests require additional assistance.
Administrative Support
Assist with data entry, filing, copying, scanning, and document organization.
Prepare basic forms, notices, and correspondence.
Maintain reception logs and administrative records.
Assist with scheduling routine meetings or appointments when requested.
Support administrative projects for community leadership and office personnel.
Safety & Visitor Procedures
Follow established visitor, access, emergency, and security procedures.
Maintain awareness of individuals entering and leaving the community.
Report unusual activity, safety concerns, or emergencies to appropriate personnel.
Assist with emergency communication procedures as directed.
Protect confidential resident, employee, and community information.
Community Activities Support
Assist with distributing activity calendars and community announcements.
Help residents and families obtain information about upcoming activities.
Provide basic administrative assistance during resident events and meetings.
Coordinate front-desk communication related to community activities.
Team Collaboration
Work closely with administrators, caregivers, nurses, activities personnel, dining staff, housekeeping, maintenance, and other community employees.
Communicate resident and visitor requests to appropriate departments.
Participate in staff meetings and training as required.
Maintain a professional and supportive relationship with residents and coworkers.
Qualifications
Required
High school diploma or equivalent.
Previous experience in reception, customer service, hospitality, office administration, healthcare, senior living, or a related environment preferred.
Excellent verbal and written communication skills.
Friendly and professional demeanor.
Strong organizational and multitasking abilities.
Basic computer and email skills.
Ability to handle confidential information appropriately.
Ability to remain calm and professional in a busy environment.
Reliable attendance and punctuality.
Preferred
Previous experience in assisted living, senior living, skilled nursing, healthcare, or residential care.
Experience working with older adults and their families.
Familiarity with electronic records or visitor-management systems.
Experience handling multi-line telephone systems.
CPR/First Aid certification or willingness to obtain certification where required.
