HR & Payroll Administrator
Position Overview
Glen Park Senior Living is seeking a highly organized and detail-oriented HR & Payroll Administrator to support the organization's human resources and payroll operations. This role will coordinate employee records, onboarding documentation, timekeeping, payroll processing, benefits administration, employee inquiries, and HR-related administrative tasks.
The ideal candidate is comfortable working with confidential employee information and understands the importance of accurate payroll, timely HR support, and consistent documentation in a senior living environment.
Key Responsibilities
Payroll Administration
Coordinate biweekly or scheduled payroll processing for employees across the organization.
Review timekeeping records for accuracy, completeness, overtime, PTO, shift differentials, and other applicable earnings.
Research and resolve payroll discrepancies before payroll submission.
Process authorized payroll changes, deductions, direct-deposit updates, and employee status changes.
Coordinate with payroll providers and accounting personnel regarding payroll processing.
Assist with payroll reconciliations and payroll-related reporting.
Maintain organized payroll documentation.
HR Administration
Maintain accurate employee personnel records and HR databases.
Process employee onboarding, transfers, promotions, status changes, and separations.
Prepare employment-related forms and documentation.
Monitor completion of required employee paperwork.
Assist with maintaining job descriptions, employee files, and HR records.
Respond to routine employee HR questions and escalate complex matters appropriately.
Timekeeping & Attendance
Monitor employee timekeeping and attendance records.
Coordinate with department managers to correct missing or inaccurate time entries.
Track PTO, leave, overtime, and other attendance information.
Help ensure timekeeping deadlines are met.
Identify recurring attendance or timekeeping discrepancies for management review.
Benefits Administration
Assist employees with routine questions regarding benefit programs.
Coordinate enrollment and status changes with benefits providers.
Maintain benefit-related employee records.
Assist with open-enrollment activities.
Track required benefit documentation and deadlines.
Coordinate with HR leadership regarding benefit administration issues.
Employee Onboarding
Coordinate administrative steps for new hires.
Prepare onboarding documents and employment forms.
Assist with background-check and employment-verification processes where applicable.
Coordinate payroll and HR system setup for new employees.
Track completion of required onboarding documentation and training.
Maintain accurate new-hire records.
Senior Living Workforce Support
Support payroll and HR administration for caregivers, nursing staff, medication aides, dietary personnel, housekeeping, activities staff, maintenance employees, and administrative personnel.
Coordinate timekeeping information across employees working different shifts and schedules.
Assist with tracking overtime, shift premiums, holiday hours, and other applicable payroll items.
Work with department leaders to address staffing-related administrative issues.
Maintain accurate employee records in a multi-department senior living environment.
Compliance & Documentation
Maintain confidential personnel and payroll records.
Assist with audits and internal HR reviews.
Track required employee documentation, certifications, and employment records as directed.
Assist with maintaining compliance-related documentation.
Prepare reports and records requested by management, HR leadership, payroll providers, or external professionals.
Employee Support
Serve as a reliable administrative contact for routine payroll and HR questions.
Assist employees with questions regarding pay, timekeeping, benefits, forms, and HR procedures.
Investigate routine administrative concerns and coordinate appropriate resolutions.
Maintain professional and confidential communication.
Escalate employee-relations, legal, clinical, or complex policy matters to appropriate leadership.
Reporting & Administrative Support
Prepare HR and payroll reports and spreadsheets.
Track employee changes, payroll deadlines, onboarding status, and HR administrative activities.
Assist with workforce data and personnel reporting.
Maintain organized electronic HR and payroll files.
Support HR process improvements and administrative projects.
Perform other HR and payroll duties as assigned.
Qualifications
Required
High school diploma or equivalent.
2–4 years of experience in payroll, HR administration, human resources, bookkeeping, or a related field.
Working knowledge of payroll and timekeeping processes.
Strong attention to detail and numerical accuracy.
Excellent organizational and time-management skills.
Strong written and verbal communication abilities.
Proficiency with Microsoft Excel or Google Sheets.
Ability to maintain confidential employee information.
Ability to manage recurring deadlines independently.
Comfortable working remotely with managers and employees across departments.
Preferred
Associate's or Bachelor's degree in Human Resources, Business Administration, Accounting, Finance, or a related field.
Experience in senior living, assisted living, skilled nursing, home healthcare, or another healthcare environment.
Familiarity with payroll systems such as ADP, Paychex, UKG, QuickBooks, Gusto, or similar platforms.
Experience with electronic timekeeping systems.
Familiarity with HRIS platforms.
Experience administering benefits and employee onboarding.
Previous remote HR/payroll administration experience.
